Privacy Policy

Diamond Coach is operated by Kane Personal Computer, Inc. (“Kane PC,” “we,” “us”), a New York corporation based in White Plains, New York. This policy explains what we collect, why, and what control you have.

The short version. Diamond Coach is built for coaches and parents — adults. Children do not create accounts and cannot sign in. Coaches and parents enter limited information about youth athletes so the app can build lineups and practice plans. We do not sell that information, we do not use it for advertising, and you can delete your account and its data from inside the app at any time.

1. Who this policy covers

This policy applies to the Diamond Coach web application at diamondcoach.app and its installable app (PWA), together the “Service.”

There are two kinds of account holders:

Coaches — head coaches and assistant coaches who manage a team.
Parents and guardians — invited by a coach to view their own child’s information.

Both must be 18 or older. Youth athletes are subjects of information in the Service; they are not users of it.

2. What we collect

Account information

Name and email address
Password (stored only as a salted hash — we never see it) or, if you use a third-party sign-in, an identifier from that provider
Your role (coach, assistant, parent, league admin) and the team you are attached to

Team and roster information you enter

Athlete first name or nickname, jersey number, age group
Position eligibility, batting order, playing-time records
Coaching notes, practice plans, and season records you create

Technical information

Browser type and version, and app version
Error and diagnostic information, including anything you send us through the in-app Report a Bug feature

We do not use advertising trackers, and we do not build advertising profiles.

3. Information about youth athletes

This is the part that matters most to us, so we will be specific.

Athlete information is entered by an adult — a coach or a parent — not by the athlete.
We ask for the minimum a lineup needs: a first name or nickname, a jersey number, an age group, and which positions a player can handle. Do not enter home addresses, birthdates, medical details, school names, or photographs. The Service does not need them.
Athlete information is visible only to coaches on that athlete’s team and to a parent who has been invited and linked to that specific athlete. It is not public and it is not shared between teams.
Parents linked to an athlete can view that athlete’s information and can request correction or deletion at any time by contacting us or through the parent portal.

Coaches: by entering an athlete’s information you confirm you have the authority to do so in your role with the team, league, or organization. If a parent asks you to remove their child, remove them — and tell us if you need help.

Children’s privacy and COPPA

The Service is directed to adults and is not directed to children under 13. Children cannot register, sign in, or submit information to us. Because we do not knowingly collect personal information from children under 13, we do not believe the Children’s Online Privacy Protection Act imposes verifiable parental consent obligations on us in the way it does for a child-facing service.

We still treat information about minors as sensitive, we minimize what is collected, and we honor parent requests. If you believe a child has provided information directly to us, contact coach@diamondcoach.app and we will delete it.

4. Artificial intelligence features

Diamond Coach uses AI to suggest lineups, generate practice plans, and answer strategy questions. When you use one of those features, the relevant team context — which may include athlete first names or nicknames, jersey numbers, positions, and your coaching notes — is sent to our AI provider to generate the response.

Our AI provider is Anthropic, PBC, acting as our processor.
Requests are sent from our servers, never directly from your browser, and our API credentials are never exposed to the app.
If you would rather not send roster context to an AI provider, do not use the AI features. Lineup rotation math runs entirely on your own device and does not involve AI.

5. Service providers

We keep this list short on purpose.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

6. How long we keep information

Account and team data is kept while your account is active.
When you delete your account, your coach profile, the teams you own, and their rosters, practice plans, and season records are deleted.
Player profiles that a parent owns are not deleted when a coach deletes their account — they belong to that parent, and the parent controls them.
Backups are retained on a rolling basis by our database provider and age out over time.

7. Deleting your account

Open the Service, tap the account button, and choose Delete Account. It is immediate and permanent, and it does not require emailing us. You may also write to coach@diamondcoach.app and we will action it.

8. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, or obtain a copy of your personal information, and to appeal a refusal. Contact us and we will respond. We will not discriminate against you for exercising these rights.

9. Security

Access to data is enforced at the database level with row-level security, so a coach can reach only their own teams and a parent can reach only their own child. Traffic is encrypted in transit. Passwords are hashed and checked against known breach corpora at sign-up. We keep an audit trail of coaches joining teams.

No system is perfectly secure. If we discover a breach affecting your information, we will notify affected users promptly.

10. Changes

If we make a material change we will update the date at the top of this page and, where the change is significant, notify account holders by email.
